2. PAIA guide
The Information Regulator has compiled a guide on how to use PAIA, in line with Section 10. The guide is available in all official languages from inforegulator.org.za.
3. Records automatically available
The following records are voluntarily made available without a formal request:
- This PAIA manual.
- Our privacy policy and terms of service.
- Pricing and platform fees (visible to logged-in users).
- Aggregated, anonymised statistics about the platform (where published).
4. Records held by TutorPool
We hold the following categories of records:
- Statutory records: registration, financial statements, tax records.
- User records: account information, bookings, payments, lesson records, messages.
- Tutor records: applications, KYC documents, qualifications.
- Operational records: support tickets, audit logs, security logs.
- Marketing records: campaign performance, consents.

6. How to request access
To request access to records held by TutorPool:
- Download the prescribed form (Form C, Request for Access to Record of Private Body) from the Information Regulator.
- Complete the form in sufficient detail to enable us to identify (a) the record requested, (b) the form of access required, (c) your identity and contact details, (d) the right you are trying to exercise (where the requested record relates to that right).
- Submit the form by email to privacy@tutorpool.co.za together with proof of identity.
- Pay the prescribed fees (see Section 7).
- We will respond within 30 days from the date we receive the complete request, in line with Section 56 of PAIA.
7. Fees
Fees payable are as prescribed by the Minister of Justice in terms of Section 92 of PAIA, gazetted under Government Notice R187 of 27 March 2021. Current rates:
- Request fee: R140 (non-personal records only; no fee for your own personal information)
- Access fee: per copy of A4-size page, electronic page, or audio output as gazetted
- Search fee (when applicable): R145 per hour
8. Grounds for refusal
We may refuse access to a record under Sections 62 to 70 of PAIA, including:
- To protect the personal information of a third party.
- To protect commercial information of TutorPool or a third party.
- To protect confidential information held in trust.
- To preserve the safety of individuals.
- Where the record is privileged from production in legal proceedings.
9. Remedies
If we refuse a request, you may within 180 days appeal to the Information Regulator under Section 77A, or apply to a court for relief under Section 78.
